Context of the organization procedure

Management system procedures and forms

Introduction and purpose

procedures and forms

The purpose of the context of the organization procedure and forms is to help businesses define their processes and interfaces in order to aid the identification and assessment of internal and external issues and interested party requirements that influence any business's strategic direction (where you’re going) and its operational purpose (what you make and do).

Application and scope

The context of the organization procedure has been developed to assist in meeting the requirements of Clause 4.1, 4.2, 4.3 and 4.4 of ISO 9001:2015, ISO 14001:2015, or ISO 45001:2018 - Context of the organization.

As a prerequisite for risk-based thinking and evidence-based decision-making, the context of the organization procedure defines the levels of risk acceptance criteria that should be applied when assessing internal and external issues, stakeholder requirements, and issues arising from the management system's scope and its processes.

The context of the organization procedure includes four essential form templates referenced from the procedure, supplied in .docx and .xlsx formats that can be retained as hard or soft copies.

Context analysis

The context analysis matrix should be completed at the first stage of the planning process in order to record, evaluate and communicate context data. Regularly updating the context analysis throughout the year will help ensure your organization can identify and adapt to changes as needed.

Use the context analysis matrix to capture and analyze your network of business relationships within its internal and external environment. Determine which internal and external issues could result in risks or opportunities to your organization's operational purpose and strategic direction.

Interested party analysis

Interested parties can be internal or external, including those with whom your operations interact or those with a significant interest in your organization. Use the interested party matrix to collect and analyze data about your stakeholders.

Gain a deeper understanding by evaluating your stakeholder relationships and the relevance of their needs and expectations by determining their level of interest and influence on your organization's operational purpose, strategic direction, and management system outcomes. This list must be reviewed at management review meetings and updated as appropriate.

SWOT analysis

A SWOT analysis can uncover areas of the business that are holding you back or that your competitors could exploit if you do not protect yourself. Many criteria will apply to more than one quadrant in the matrix. Identify the criteria appropriate to your own situation. The relevance of internal climate change considerations should be captured in this document.

PESTLE analysis

A workshop approach is often best when undertaking a PESTLE analysis. Organizations should include climate change as an external issue in their PESTLE analysis and make a statement on its relevance. This should be discussed during management review meetings and recorded in the review meeting minutes.

The relevance of climate change issues will vary greatly depending on the size and sector of your organization, the products and services provided, its position in the supply chain, its geography, and the scope of your organization’s management system.
